About this policy

This policy explains how Verotiq handles personal information in connection with this website, enquiries, and its agency services. For privacy questions or requests, contact contact@verotiq.com.

Where we handle leads or customer information on a client’s instructions, the client determines the purpose of that processing. The client’s privacy notice and our agreed data-processing terms govern that activity. This notice covers information we handle for our own website and business relationship with you.

Information we handle

  • Information you provide: your name, email address, business name, role, service area, preferred start timing, and the phone number required when requesting a callback. We also handle booking details, messages, project requirements, and documents you choose to share when contacting or working with us.
  • Service and transaction records: agreements, invoices, payment references, communications, and refund requests needed to administer an engagement.
  • Technical information: the hosting infrastructure may process your IP address, requested pages, browser information, and access times to deliver the website and maintain security.

Please share only information relevant to your enquiry. Do not send sensitive personal information, full card details, or account passwords by email.

How we use information

We use relevant information to respond to enquiries, arrange fit calls and requested callbacks, prepare proposals, deliver agreed work, manage billing and refunds, communicate about your engagement, and protect our services against misuse. Providing a callback number lets us contact you about that request; it does not sign you up for marketing calls or WhatsApp campaigns. We only use WhatsApp for your enquiry if you specifically ask for or agree to that channel.

Where data-protection law requires a legal basis, these activities rely on taking steps at your request before a contract, performing a contract, meeting legal obligations, or legitimate interests such as responding to business enquiries and securing the website, balanced against your rights. Where consent is required, including for certain marketing activities, we rely on that consent and you may withdraw it.

We do not sell your personal information. We do not use this website to make automated decisions that produce legal or similarly significant effects about you.

Calendars, cookies, and forms

Verotiq does not add advertising pixels or analytics trackers to its own pages. Its calculators run in your browser; their inputs are not submitted to Verotiq. The third-party services described below have their own data practices.

Booking a call: the embedded calendar loads only after you choose “Choose a time.” It then connects your browser to Calendly, which may process connection and device information and use cookies or similar technologies. Calendly’s cookie controls remain available. Booking details you enter, such as your name, email, phone number, answers, and chosen time, are handled by Calendly and shared with us to arrange the call. We do not add your contact details to the calendar link. You can instead use the direct Calendly link, send an enquiry, or email us. See Calendly’s privacy notice and Calendly’s cookie controls.

Sending an enquiry: your browser sends the business and contact details you entered to FormSubmit, a third-party form service, which forwards the request to contact@verotiq.com. The form uses a hidden honeypot field to filter automated spam, with reCAPTCHA disabled. No automatic acknowledgement email or copy of your submission is sent to you by this form. Booking a call through Calendly is a separate step with its own appointment notifications. FormSubmit may process browser and connection information to provide its service; see FormSubmit’s privacy notice. Please include only business information relevant to your enquiry, not sensitive personal information or passwords.

Booking a call or sending the form does not add you to a marketing mailing list. A direct email link opens your own email application; the message is sent when you choose to send it. External sites reached through our links have their own data practices. If we add optional tracking or change how our forms collect information, we will update this notice and provide information and consent controls where required before that collection begins.

Sharing information

Information may be handled by service providers involved in website hosting, email, billing, or delivering an agreed engagement, to the extent needed for that role. We may also disclose information where required by law or necessary to protect legal rights.

Provider locations can mean information is processed outside your country. Where applicable law requires safeguards for an international transfer, appropriate safeguards must be in place. Contact us for information about the providers or transfer arrangements relevant to your engagement.

Retention and security

We retain information for as long as it is needed for the purpose for which it was collected. Enquiry records are kept while handling the enquiry and relevant follow-up; engagement records are kept for the relationship and any necessary accounting, legal, or dispute-resolution period. The applicable period depends on the record and legal requirements. Information no longer needed is deleted or anonymized.

FormSubmit states that it retains form submissions in its archive for 30 days. This is separate from copies held in our email system and your inbox. See FormSubmit’s documentation for its retention details.

Access should be limited to people who need information for their work, with safeguards appropriate to the information involved. No website, email system, or storage method can guarantee absolute security. Please contact us promptly if you suspect a privacy or security issue involving your information.

Your rights

Depending on your location and applicable law, you may have rights to access, correct, delete, or receive a copy of your personal information; restrict or object to certain processing; and withdraw consent without affecting earlier lawful processing. You may also raise a complaint with the data-protection authority in your jurisdiction.

Send requests to contact@verotiq.com. We may request proportionate information to verify your identity and will respond within the period required by applicable law. Some records may need to be retained to meet legal obligations. You may ask us to stop marketing messages at any time.

Children and updates

Our website and agency services are intended for business users, not children. If you believe a child has provided personal information to us, contact us so we can investigate and address it.

We may update this policy to reflect changes in the website, our services, or applicable requirements. The date above identifies the latest version. If a change requires additional notice or consent, we will provide it.
